The Office Manager will coordinate, plan, and support daily operational and administrative functions. Serve as central point of contact to facilitate communication between field employees and management.
Job Requirements:
- Perform receptionist duties: greet visitors, and answer and direct phone calls
- Take product and service orders customers and vendors
- Create and maintain various paper and electronic files and ensure databases are current
- Prepare bills / invoices / purchase orders, etc.
- Review and enter payroll / time sheets
- Track expenses associated with an office
- Correspond in writing with clients and vendors
- Order, maintain and track office supplies, tool & equipment as directed
- Follow-up on unpaid invoices with call and mailings
- Coordinated travel arrangements
- Provide other administrative support as necessary, including scheduling meetings, maintaining calendars, completing research, and creating various reports
- Ensure the office is always orderly and clean
- General office duties (faxing, filing, copying, printing, mailing)
Qualifications:
- Two+ years of experience as an administrative assistant / office manager
- Experience using QuickBooks software daily
- Proficient with Microsoft Office (Word, Excel)
- Strong organizational and time management skills, and ability to prioritize
- Ability to work productively both independently and in a team environment
- Must pass pre-employment drug screening and criminal background
